This Privacy Policy explains what information may be collected, used, stored, or shared when you visit our website, make a purchase, create an account, submit a request, upload reference materials, or otherwise interact with Obsidian Glows. ## 1. Information We Collect Depending on how you use our website and services, we may collect information including: * Name * Email address * Phone number, when voluntarily provided * Shipping address * Order and transaction information * Account information * Contact form submissions * Item request information * Custom Creation requests, including project type, timeline, budget, description, and related information * Reference photographs, images, or files you voluntarily upload * Business and project information submitted through commercial quote requests * Shopping-cart activity * Website usage and non-directly-identifying analytics information Information collected depends on the features and services you choose to use. ## 2. Payment Information Payments are processed securely through **Stripe**. Payment-card information, including card numbers, expiration dates, and security codes, is entered directly through Stripe's hosted checkout system. **Obsidian Glows does not receive or store customers' payment-card information.** Information necessary to complete and document a transaction, such as customer name, email address, shipping information, products purchased, order totals, applicable taxes, and transaction identifiers, may be retained by Obsidian Glows. Stripe processes payment information according to its own terms and privacy practices. ## 3. How We Use Your Information Information may be used to: * Process and fulfill purchases * Provide customer service * Respond to questions and inquiries * Process Item Requests * Process Custom Creation requests * Prepare quotes * Communicate regarding orders, requests, or custom projects * Provide shipping and order updates * Maintain customer accounts * Operate shopping-cart and checkout functionality * Maintain transaction and business records * Prevent or investigate fraudulent or unauthorized activity * Understand website usage and improve our website and services * Comply with applicable tax, accounting, legal, and regulatory requirements **Obsidian Glows does not sell or rent customers' personal information.** ## 4. Custom Creation Requests & Uploaded Images Customers submitting a Custom Creation request may voluntarily provide reference photographs, images, descriptions, and other project information. These materials are used to evaluate, communicate about, and complete the requested Custom Creation. Uploaded reference images are stored using our website platform and file-storage provider and may be accessible to authorized Obsidian Glows administrators. Reference-image links may also be included in administrative communications used to process the request. New customer-uploaded reference images are processed before permanent storage to remove embedded EXIF metadata where technically possible. This includes available GPS/location information, camera or device information, timestamps, and similar embedded metadata. Image orientation is preserved during this process. References to uploaded customer images are automatically removed from the Obsidian Glows application approximately **12 months after the associated Custom Creation request is completed, declined, or otherwise designated as a closed request**, unless the record has been specifically retained for a legitimate business purpose. Removing an image reference from the Obsidian Glows application may not immediately delete an underlying orphaned file maintained within our website provider's storage infrastructure. Customers should avoid uploading confidential information or materials they do not have permission to provide. ## 5. Browser Storage & Website Functionality The Obsidian Glows website uses browser local storage and session storage to provide and improve website functionality. These technologies may be used to: * Retain shopping-cart contents between visits * Cache website appearance and settings for faster loading * Maintain login sessions when applicable * Support website and platform functionality * Generate a temporary random session identifier for website traffic measurement Obsidian Glows does **not currently use advertising, remarketing, cross-site tracking, or targeted-advertising cookies or pixels**. ## 6. Shopping Cart Activity Shopping-cart contents may be stored locally in your browser so selected products can remain in your cart between visits. The website may record non-directly-identifying shopping events, such as a product being added to a cart, checkout completion, or a shopping session ending while products remain in the cart. This information is used for website and business analytics and is not directly associated with a customer's name or email address through the website analytics system. ## 7. Website Analytics Obsidian Glows uses first-party website analytics to understand website traffic, performance, and visitor interaction. Information may include: * Pages or website sections visited * General interaction or event information * Shopping and checkout activity * A temporary random session identifier * Approximate city, state, and country A visitor's IP address may be processed temporarily by a third-party IP-geolocation service to estimate approximate geographic location. The IP address itself is **not stored in the Obsidian Glows analytics database**. Individual first-party analytics events are automatically deleted after approximately **90 days** and are not directly associated with a visitor's name or email address. Google Analytics and Google Search Console information may also be accessed server-side for website traffic and search-performance reporting. The Obsidian Glows website does not currently load a browser-based Google Analytics tracking tag. ## 8. Customer Accounts & Authentication Customer accounts are optional, and public checkout does not require an account unless otherwise indicated. If you choose to create an account, information such as your email address and account credentials may be processed through the website platform. Passwords are handled by **Base44's authentication system** and are not stored in readable form by Obsidian Glows. Google sign-in may also be available. When Google authentication is selected, information necessary to authenticate the account may be processed according to Google's applicable privacy practices. Deleting an account does not necessarily delete historical orders, transactions, shipping records, communications, or other information that may reasonably need to be retained for legitimate business, tax, accounting, fraud-prevention, dispute-resolution, or legal purposes. ## 9. Third-Party Services Obsidian Glows relies on third-party service providers to operate portions of the website and business. These may include: **Stripe** — secure payment processing and checkout. **Base44** — website hosting, databases, authentication, file storage, platform security, system logs, infrastructure, and backups. **Google services** — including Gmail for communications, Google Search Console for search-performance information, Google Analytics for website reporting, Google authentication when selected, and Google Merchant Center for public product information when enabled. **IP-geolocation services** — used to derive approximate city, state, and country information from visitor IP addresses for website analytics. **File-storage and content-delivery services** — used as part of the website platform to securely host website and customer-uploaded files. Third-party providers may process information according to their own applicable terms and privacy policies. Obsidian Glows does not provide customer personal information to third parties for the purpose of selling that information or targeted third-party advertising. ## 10. Shipping & Order Fulfillment Customer names, email addresses, shipping addresses, order contents, and related fulfillment information may be maintained for processing and managing orders. Obsidian Glows currently handles order fulfillment manually. Customer information is not automatically transmitted by the website to shipping carriers. Information necessary to deliver an order may be provided to the selected shipping carrier when a package is prepared for shipment. Shipping and fulfillment records associated with completed transactions may be retained as part of the business's transaction history. ## 11. Data Retention Obsidian Glows retains different types of information for different periods depending on its purpose. ### Website Analytics Individual first-party analytics events are automatically deleted after approximately **90 days**. ### Custom Creation Reference Images References to customer-uploaded images are automatically removed from the Obsidian Glows application approximately **12 months after the associated Custom Creation request is closed**, unless the record has been specifically retained for a legitimate business purpose. The underlying file may remain within the website provider's storage infrastructure after the application reference has been removed. ### Custom Creation Requests Personal information associated with a closed Custom Creation request is generally retained for approximately **3 years after closure**. After that period, identifying information is automatically removed or anonymized unless the record has been specifically retained. Non-personal business, agreement, internal, or financial information may remain where reasonably necessary. ### General Contact Messages Ordinary contact messages are generally automatically deleted approximately **2 years after submission**. Order-related messages and records specifically retained because of an active customer matter, dispute, transaction, or legitimate business need may be kept longer. ### Item Requests Closed Item Requests are generally automatically deleted approximately **2 years after submission**. Active Item Requests and records specifically retained for a legitimate business purpose are exempt from automatic deletion. ### Quote Requests Quote requests that do not result in a booked transaction are generally automatically deleted approximately **2 years after submission**. Booked requests and records specifically retained for a legitimate business purpose may be kept longer. ### Orders, Payments & Business Records Order records, payment-related records, sales-tax information, shipping and fulfillment history, refunds, accounting records, and other transaction records are **not subject to the automatic deletion periods described above**. These records may be retained as reasonably necessary for: * Tax and accounting requirements * Business recordkeeping * Fraud prevention * Payment disputes * Customer-service issues * Legal compliance * Other legitimate business purposes Certain records may be retained beyond their normal retention period when reasonably necessary for an active customer matter, dispute, transaction, legal obligation, or other legitimate business purpose. ## 12. Data Security Obsidian Glows and its service providers use reasonable administrative and technical safeguards intended to protect information against unauthorized access, loss, misuse, alteration, or disclosure. Payment-card information is handled directly through Stripe and is not stored by Obsidian Glows. Customer-uploaded reference images are processed to remove embedded metadata where technically possible before permanent storage. However, no website, electronic storage system, or internet transmission method can be guaranteed to be completely secure. ## 13. Your Privacy Requests You may contact Obsidian Glows to request access to, correction of, or deletion of personal information maintained about you. Children's Privacy The Obsidian Glows website and services are not directed toward children under the age of 16. Obsidian Glows does not knowingly collect personal information from children under 16. Obsidian Glows is not responsible for the privacy practices, security, content, or policies of independently operated third-party services.
